Welcome to all volunteers at the 2026 Bergen International Festival!
This guide contains everything you need to feel prepared and confident – whether you are new or have been volunteering with us before. We recommend reading through it carefully at your own pace.

Request your preferred shifts – deadline 30 April
Before the shifts go public, you can submit up to 3 preferred shifts.
Examples: - “I’d like to volunteer at the Opening Ceremony” - “I’d love a shift during the Closing Concert”

We’ll do our best to accommodate your preferences, though we can't guarantee availability.
Information meeting – 12 May
If this is the first year you are volunteering, you should attend the information meeting on Tuesday May 12 at 18:00 at the Festival office.
Here you will get practical details before the festival begins, get to ask questions, and we will introduce you to Crescat (our volunteer system).
If you've volunteered with us before, and know the festival and routines well and how to use Crescat, you do not have to attend the information meeting; then we'd rather see you at the kick-off where you will get your accreditation.
Shifts are out – 13 May
Available shifts are in the tab Claim Shifts in Crescat. The shifts are released continuously from 13 May (the day after the Information meeting). If you've sent in three preferred shifts by 30 April, some of these can be added to your calendar before this date. We cannot guarantee availability of preferred shifts.
Kick-off and accreditation – 19 May
Everyone involved in the Festival are invited to a kick-off event on Tuesday 19 May at 19:00. On arrival you will be handed your accreditation and a Festival t-shirt to be used whilst volunteering.
We are available for questions during the evening, and it is a nice occasion to get to know the Festival staff.
Festival start – 27 May
The 2026 Bergen International Festival begins with the opening ceremony at Torgallmenningen on Wednesday 27 May at 12:30. We hope to see you there!
The Festival returns to Det Vestnorske Teateret (formerly Logen) – a central hub for volunteers!

Behind the accreditation botth at Det Vestnorske Teateret, through the main doors and up the stairs, or take the elevator. Here you will find a volunteer lounge, and the Festival bar in Skiftet is open for all volunteers, daily from 17:00.

Facebook group & social media
Join our closed Facebook group “Festspillenes Frivillige” to share experiences, photos, and social updates during the festival. It’s also where we coordinate social gatherings.

What do you get as a volunteer at the Festival?
As a thank you for your contribution, you’ll receive:
A festival T-shirt and other festival items
Two free tickets to events of your choice → Pick these up at the ticket booth at Torgallmenningen
A volunteer pass giving free access to events with available capacity, 30 minutes before start (Not valid for events at Siljustøl, Gamlehaugen and Bullahuset)
30% discount on other ticket purchases
Kick-off and after-party for volunteers
A certificate of participation upon request – must be requested by Tuesday 16 June 2025
Free tickets
All volunteers receive two free tickets to festival events. You can already now explore the programme and decide which events you'd like to attend.
Before the festival: Email billett@fib.no to reserve tickets early.

During the festival: You can collect your free tickets at the ticket booth at Torgallmenningen.
At Bergen International Festival we use Crescat to manage and communicate about volunteer shifts. Crescat is a Norwegian-developed digital tool designed for planning and running events.
When you are assigned a volunteer role, you will receive an email with a link to your personal Crescat page.
Your Crescat Page
You will receive your Crescat login details by email. Click “Open My Page” at the very bottom of the welcome email to access your Crescat profile. You do not need a username or password, as this is your personal link to the shift calendar. Bookmark the email, or save your Crescat page to your phone’s home screen so you can access it easily.
When are shifts released?
Available shifts can be found under the Claim Shifts tab. Shifts will be released on an ongoing basis in Crescat from 13 May onwards (the day after the information meeting). If you submitted three shift preferences by 30 April, some of these may already have been added to your calendar before then. However, we cannot guarantee that all preferences will be accommodated.
Before we publish the shifts, you will have the opportunity to submit up to three preferred shifts. Examples: "I would like to work at the Opening Ceremony”, “I would like a shift during the Closing Concert”

Contact person and meeting point
Each shift in Crescat shows who your contact person is and provides their contact details.
For Audience hosts, this will most often be a Shift leader. The Shift leader welcomes volunteers, assigns tasks, and answers questions throughout the shift.
At smaller events, there may not be a Shift leader. In that case, you will see the name of another contact person, such as the Venue manager or Volunteer coordinator.
Artist contacts, Runners and Festival hosts report directly to the Volunteer coordinator.
Your shift is always linked to a specific venue. If you are unsure where to meet, you can find addresses and maps for all festival venues at www.fib.no.
Pass and dress code
When on shift, you must:
Wear the festival T-shirt
Wear black trousers or a black skirt
Keep your volunteer pass visible around your neck
Volunteer passes and festival merchandise will be distributed at the kick-off event.
If you are unable to attend the kick-off, you can collect these items from the accreditation desk at Det Vestnorske Teateret from Monday 25 May and throughout the festival.
The pass is personal and must not be lent to or used by anyone else.
Your personal Crescat page doesn’t require a username or password – all you need is the link you received by email when your role was assigned (the “Open My Page” button is the link).
We recommend saving your Crescat page to your phone’s home screen for easy access. You can always return to the original email if you need the link again. Can’t find the email? Just contact us at frivillig@fib.no for a new one.

This is your personal dashboard. Here you’ll see your assigned role and an overview of:

You’ll also find important documents like your role description and volunteer contract under ‘Info Sections’.
II: My Shifts
Here you’ll find all the shifts you’re signed up for, including details like time, location and your contact person for the shift.
III: Claim Shifts
This is where you can sign up for available shifts. You can scroll through different dates.
If a shift is fully staffed, it will disappear from the list – but it might reappear if someone cancels.
New shifts may be added throughout the festival, so check back occasionally.
To view details about a shift, click the arrow next to the time.
To sign up: Press “Claim” → then “Claim Shift”. The shift will now appear under “My Shifts”.
Shift changes
You can remove yourself from a shift up to 72 hours before it starts. To do this:
Go to “My Shifts”, click the shift, then choose “Leave Shift”.
You’ll get two options:
Remove when claimed: You still have the shift unless someone else claims it.
Remove now: You’re removed from the shift immediately.
Less than 72 hours before the shift? If you for some reason cannot attend your shift, contact the Volunteer Coordinator at frivillig@fib.no. If it’s urgent, contact the person listed as your shift contact.

Here you’ll find the phone number to the volunteer hotline and other important numbers during the festival.
V: My Profile
This section shows the info you entered during registration. You can update your email address or other details if something needs correcting.
Reminders and time registration
You’ll receive an email reminder 24 hours before your shift starts. When you arrive, you need to check in and out via Crescat to register your hours. Your Shift Leader can help you with this if you are unsure.
Many volunteer tasks during the Festival involve welcoming and managing the audience at events. This includes helping with admittance and counting attendees.
Ticket scanning
Ticket scanning is usually handled by Festival sales staff, but volunteers often assist. If this applies to your shift, you’ll receive instructions on-site from the responsible staff.
Pass queue
At popular events, the Shift Leader may organise a separate queue for pass holders. These guests are admitted after ticketed audience members, and only if there is available capacity.

There is no guest list at the door.
At Grieghallen, all pass holders must collect a physical ticket from the box office (starting 30 minutes before the performance). Unused tickets must be returned.
Welcoming the audience
At most venues, doors open 30 minutes before the performance begins.
Volunteers should remain outside the hall door for 5–10 minutes after the start to allow latecomers in during the first applause.
Audience members should only be admitted during applause, not mid-performance.
If you’re unsure, ask your Shift Leader.
Counting
We are required to keep track of the number of attendees at each event. At non-ticketed events, counting is a key part of the volunteer role.
If you’re assigned to count the audience, your Shift Leader will explain how it should be done.

My name is Agathe, and I'm the Volunteer coordinator for this year's Bergen International Festival.
It's wonderful to have you with us, whether you've volunteered before or are completely new to the team!
The volunteers are what make the Festival possible, and in my opinion, volunteering is one of the very best parts of the whole festival. I'm really looking forward to working with all of you to create the world's best festival in the world's best city!
